More Than One USDOT Number? How to Consolidate Duplicate DOT Numbers
FMCSA assigns a USDOT number to one company, and that number stays with that company. It isn't transferable. Even so, plenty of carriers end up with two or three numbers for the same business, usually without realizing it until a broker, an inspector or an insurance agent asks which one is real.
How carriers end up with duplicates
- Applying again after a number went inactive, instead of reactivating the original
- Re-registering after a business name change or a move
- A filing service or a family member registering the company a second time
- Starting as a sole proprietor, then forming an LLC and registering again without sorting out the first number
Why it matters
- Your inspections and crashes get split across numbers, so neither record shows your real safety history
- Each active number has its own MCS-150 biennial update due. Miss one and that number goes inactive
- Insurance filings, operating authority and your BOC-3 can end up attached to a different number than the one on your trucks
- Brokers and shippers checking SAFER may see an inactive or incomplete record and pass on your load
How duplicates get resolved
- Pull every record. Look up each number on FMCSA SAFER and note its status, legal name, address, operating authority and insurance.
- Choose the number to keep. It's usually the one carrying your operating authority, insurance filings and the longest history.
- Update the keeper. Make sure its legal name, address, fleet size and operation type are current. That's an MCS-150 update.
- Deactivate the duplicates. Each extra number is taken out of service through FMCSA's registration system. FMCSA may ask for documents showing it's the same company.
- Fix everything that points to the old number: truck markings, your BOC-3, insurance filings and UCR.
What USAFE does
Our Duplicate Resolution service is $125. We work with you inside FMCSA's Motus registration system to identify every USDOT number tied to your business, confirm which one to keep, and deactivate the rest. Then we verify the surviving record is correct and current. We need three documents to do it: a driver's license or officer ID, your EIN letter, and your articles of incorporation or organization. Motus access uses your USDOT PIN, so we do that step together on the phone.
